Use this wiki to set up your studio, manage students, schedule lessons, track progress, share resources, generate invoices, record payments, and keep student portal access running smoothly.
Getting Started
Set up the basics before adding your first lessons.
What is MyMusicBuddy?
MyMusicBuddy is a SaaS platform for music teachers to manage students, lessons, progress, resources, invoices, payments and student portal access from one place.
How do I create my teacher account?
- Go to the main site registration page.
- Choose your plan.
- Verify your email address if prompted.
- Complete setup by adding your studio details, instruments and lesson rates.
After setup, you land on the teacher dashboard.
What should I set up first?
- Add your studio name and contact details in Settings.
- Add your teaching instruments.
- Add lesson rates, such as 30 minutes or 60 minutes.
- Check notification preferences.
- Add your first student.
What does the dashboard show?
The dashboard gives you a quick overview of active students, upcoming lessons, monthly revenue, pending invoices, upcoming lessons and recent payments.
Can I use MyMusicBuddy on mobile?
Yes. The teacher and student portals are responsive. On smaller screens, the sidebar condenses into a menu so you can still reach the main sections easily.
Students
Create student profiles and manage their lesson, billing and portal details.
How do I add a new student?
- Open Students from the teacher portal sidebar.
- Select Add student.
- Enter the student name, student email, instrument, billing option and any notes.
- Set a student portal password if you want them to sign in immediately.
- Save the student.
If a password and email are provided, the student receives an invite email for the student portal. The first instrument and lesson rate created during setup can be automatically assigned when adding your first students.
What is the student email used for?
The student email is used for student portal login and notifications, including new lessons, changed lessons, cancelled lessons, generated invoices, paid invoices and uploaded resources.
Can I change a student's password?
Yes. Open the student's profile, choose edit, and set a new password. Students can also change their own password from the student portal settings page.
Can I archive, restore or permanently delete a student?
Yes. Student deletion is designed as an archive first, so lesson, invoice, payment, resource and progress history is preserved. Archived students can be restored from the archived section. If you no longer need the record, you can permanently delete the student from the archived area.
Why can't I add more students?
Your plan may have reached its student limit. Starter allows up to 5 students. Pro allows up to 25 students. Studio is intended for larger studios and includes the highest limits.
Lessons
Schedule, repeat, edit, reschedule and cancel lessons.
How do I add a lesson?
- Open Schedule.
- Choose Add lesson.
- Select the student, date, start time and end time.
- Add notes if needed.
- Save the lesson.
The student is emailed when lesson notifications are enabled.
Can I add recurring lessons?
Yes. Use the repeat options when creating a lesson. You can create weekly, biweekly or monthly repeating lessons and choose an end date or number of occurrences.
How do lessons become completed?
Lessons in the past can be marked as completed by the platform's completion logic. Completed lessons are then available for invoicing if they have not already been invoiced.
How do I reschedule a lesson?
- Open the lesson from the schedule or student profile.
- Choose edit or reschedule.
- Set the new date and time.
- Save the change.
The student email includes the updated date and time.
What happens when I delete a lesson?
The lesson is removed from the schedule. For recurring lessons, you can remove just one lesson or this and future lessons in the series. The student receives a cancellation email when lesson notifications are enabled.
Why is a completed lesson not on an invoice?
Check that the lesson is completed, belongs to the correct student, has not already been invoiced and has a billable rate. Only outstanding completed lessons should be picked up by invoice generation.
Progress
Track goals, achievements, notes and student development over time.
What is the progress section for?
Progress tracking helps teachers record what a student is working on, what has improved, what needs attention and what goals come next.
How do I add a progress entry?
- Open Progress from the sidebar or open a student's profile.
- Select Add progress.
- Choose the student and enter the update.
- Add a date, category, level or notes where available.
- Save the entry.
Can students see their progress?
Yes. Students can view their own progress updates in the student portal, where enabled for their account and plan.
Can I export progress records?
Progress and progress exports are plan-gated. If the page or export buttons are disabled or unavailable, check your current subscription in Settings.
Resources
Share files and learning materials with students.
How do I upload a resource?
- Open Resources.
- Select Upload resource.
- Choose the file and complete the resource details.
- Assign it to the relevant students.
- Save the upload.
Assigned students receive an email notification when resource notifications are enabled.
Where do students download resources?
Students sign in at student.mymusicbuddy.co.uk and open Resources. They only see resources assigned to them.
Why does a student see file not found?
Ask the teacher to open Resources and check that the file is still listed and assigned to the student. If it still will not download, contact support with the student's name and the resource title so the file link can be checked.
Can I edit or remove resources?
Yes. Use the actions on the Resources page to edit resource details or delete resources you no longer want to share.
Invoices
Generate invoices from completed, uninvoiced lessons.
How does Generate Invoice work?
When you generate an invoice for a student, MyMusicBuddy looks for completed lessons that have not already been invoiced. It groups the outstanding lessons into a new invoice and marks those lessons as invoiced so they are not billed twice.
How do I generate an invoice?
- Open the student's profile or the Invoices page.
- Select Generate invoice.
- The system creates an invoice from outstanding completed lessons.
- The student receives an invoice email when invoice notifications are enabled.
Why did no invoice get created?
The most common reasons are: there are no completed lessons, all completed lessons have already been invoiced, the student has no suitable billing rate, or the lessons belong to another student or teacher account.
How do I mark an invoice as paid?
Open the invoice and choose Mark as paid, or record a payment and link it to the invoice. When an invoice is marked paid, the student receives a payment received email.
Can students see invoices?
Yes. Students can view their invoices and payment status from the student portal.
Payments
Record student payments and link them to invoices.
How do I record a payment?
- Open a student profile or the Payments page.
- Select Add payment.
- Enter the amount, method and notes.
- If available, link the payment to an invoice.
- Save the payment.
What happens when I link a payment to an invoice?
If the linked invoice is unpaid, MyMusicBuddy marks it as paid and emails the student to confirm the payment has been received.
Can I export payments?
Payment export is available on eligible plans. If export is unavailable, check your plan in Settings.
Student Portal
Students can access their own lesson and account information.
Where do students sign in?
Students sign in at student.mymusicbuddy.co.uk using their student email address and password.
What can students see?
Students can see their own lessons, progress, resources, payments, invoices and settings. They cannot see other students or teacher-only admin areas.
Who sets the student password?
The teacher can set the password when creating or editing the student. Students can then change their password from their student portal settings page.
What should a student do if they cannot log in?
- Check they are using the student portal, not the teacher login page.
- Check the email address matches the one on their student profile.
- Ask the teacher to reset their password if needed.
Email Notifications
Keep students informed when important events happen.
Which emails are sent to students?
Students can receive emails when they are added, lessons are created, lessons are changed, lessons are deleted, invoices are generated, invoices are paid and resources are uploaded.
What email address do notifications come from?
System notifications are sent from notifications@mymusicbuddy.co.uk. Replies can route to the teacher email where configured.
Can teachers turn notifications off?
Yes. Notification preferences are managed in Settings. Teachers can control lesson, invoice, resource and new-student notifications where those options are available.
Where can I see sent emails?
Email logs are available for Pro and Studio plans. The log shows recipient, subject, status and timing so you can confirm whether a notification was attempted. Email templates can be amended from the template files when you need to adjust wording.
Why did a student not receive an email?
- Check the student email address is correct.
- Check notifications are enabled in Settings.
- Check the email log for sent or failed status.
- Ask the student to check spam or junk folders.
Plans and Limits
Understand Starter, Pro and Studio plan behaviour.
What are the plan limits?
- Starter: free, up to 5 students, 1 instrument and 1 lesson rate.
- Pro: £9.99 per month, up to 25 students, with paid features such as reporting, progress and email logs where enabled.
- Studio: £19.99 per month, designed for larger studios and includes the highest feature set, including custom branding.
How do I upgrade?
Open Settings in the teacher portal and use the subscription section to choose the plan you want. You will be sent to Stripe to complete the plan change where required.
How do I downgrade or cancel?
Plan changes are handled through the subscription controls in Settings. Upgrades are handled through Stripe and can take effect immediately. Downgrades or cancellations can continue until the end of the current billing period depending on the billing state.
Why is a feature unavailable?
The feature may require Pro or Studio. Check the plan badge in the sidebar or the subscription section in Settings.
Custom Branding
Studio plan teachers can customise teacher and student portals.
Who can use custom branding?
Custom branding is available on the Studio plan.
What can be customised?
Studio plan teachers can customise portal branding, including logo and brand colours where supported. Branding can apply to both the teacher portal and the student portal.
Can I remove my logo?
Yes. Use the branding area in Settings to remove the uploaded logo and return to the default MyMusicBuddy branding.
Settings
Manage account details, billing, notifications and exports.
What can I manage in Settings?
Settings includes your studio details, instruments, lesson rates, notification preferences, branding, two-factor authentication, export options and subscription controls.
How do I change lesson rates?
Open Settings and use the lesson rates area to add or edit rates. Starter accounts are limited to one rate.
How do I change instruments?
Open Settings and use the instruments area. Starter accounts are limited to one instrument.
Can I export my data?
Exports are available according to plan. Export options can include students, lessons, invoices, payments, resources and progress records.
Reports and Exports
Use reports to review readable studio data, including student names rather than IDs.
What do reports show?
Reports help teachers review students, lessons, invoices, payments, resources and progress in a readable format. Where student data appears, reports should show student names rather than only database IDs.
Who can export data?
Exports are available according to plan. If a report or export option is not shown, check the subscription section in Settings.
Admin and Account Controls
Support staff can review account health and help teachers regain access.
What account information can support review?
The admin area can show teacher account status, plan details, last login time and last login IP address where recorded.
Can support lock or reverify an account?
Yes. Support can lock or unlock teacher accounts and require reverification when an account needs an extra safety check.
Security and Access
Keep teacher and student accounts protected.
How should I choose passwords?
Use strong, unique passwords for teacher and student accounts. Avoid reusing passwords from other services.
What if I forget my teacher password?
Use the forgot password link on the teacher login page. You will receive a password reset email if the address matches an account.
Can I enable two-factor authentication?
Yes. Teachers can enable optional two-factor authentication from Settings. If you choose to remember a trusted device, you can skip repeat 2FA prompts on that device for 30 days.
Do teachers and students use the same login page?
No. Teachers use mymusicbuddy.co.uk. Students use student.mymusicbuddy.co.uk.
Can students see other students?
No. Student portal pages should only show the logged-in student's own lessons, resources, progress, invoices and payments.
Troubleshooting
Common issues and quick checks.
I see a blank page. What should I do?
- Refresh the page.
- Sign out and sign back in.
- Try a private browsing window or a different browser.
- If it still happens, contact support with the page address and what you clicked before the blank page appeared.
I cannot upgrade or change my plan.
Open Settings and try the subscription button again. If Stripe does not open, or the page stays blank, contact support with the plan you are trying to move to and the email address on your teacher account.
Student resource downloads say file missing.
Ask the teacher to check that the resource is still available and assigned to the student. If the resource is listed but still cannot be downloaded, contact support with the resource name and student name.
Invoices are not generating.
Invoices are only generated from completed lessons that have not already been invoiced. Check the student's lessons first. If the student has completed, uninvoiced lessons and no invoice is created, contact support with the student name and lesson dates.
Emails are not arriving.
- Check the student's email address is correct.
- Check your notification settings are switched on.
- Ask the student to check spam or junk folders.
- If your plan includes email logs, check whether the email shows as sent or failed.
